QuickBooks MCP Integration
Disconnected QuickBooks from Hatz?
If you arrived here after disconnecting Hatz from QuickBooks Online, the connection between Hatz and that QuickBooks company has ended, and Hatz's QuickBooks tools stop working in your chats. Disconnecting doesn't change your records in QuickBooks.
To connect again, follow the steps in Connect or reconnect QuickBooks Online just below.
Connect or reconnect QuickBooks Online
Before you start
Beta access. QuickBooks Online is in beta, and only users in the beta can see and connect it. To request access, fill out the Beta Testing Application. How to get into a beta explains how beta spots are filled.
A QuickBooks Online company based in the United States. Companies in other countries aren't supported yet.
Admin access to that QuickBooks company. Intuit only lets company admins connect apps. In QuickBooks Online Accountant, only the firm owner can connect.
Each connection covers one QuickBooks company for one Hatz user. To work with a different company, delete the integration and connect the other company.
Connect
Sign in to Hatz at your organization's usual address, such as
yourcompany.hatz.aior your company's custom domain. If you're not sure of the address, ask your Hatz administrator. In Hatz, go to Workshop, then select Connections.
Search for QuickBooks Online and select Add. If it's already added, open it.
Under Select toolkits to connect, tick the options you want. See Choose what Hatz can do.
Select Connect QuickBooks Online.
Sign in to Intuit if asked, choose the QuickBooks company, and approve access.
You're returned to Hatz, and QuickBooks Online shows as Connected.
Start a new chat and try an ask such as "Which 3 customers owe us the most right now?"
Reconnect
In Connections, open QuickBooks Online. If it shows Authentication expired or Access revoked, select Reconnect and complete the Intuit steps again. If you deleted the integration, add it again with the steps above.
Overview
The QuickBooks Online integration lets you work with one QuickBooks Online company from Hatz chat. Ask about reports, customers, products and services, invoices, estimates and recurring invoices. If you allow it, Hatz can also prepare changes, such as a new invoice or an email to a customer, and it asks for your approval in chat before making each one.
Availability: QuickBooks Online is a Beta integration that is rolling out gradually. If you don't see it in Connections, ask your Hatz administrator or your Hatz account team.
Common use cases
See who owes you money and how much is overdue.
Review profit and loss, balance sheet, cash flow, and sales by customer or by product for a period.
Find customers, products and services, invoices, estimates and recurring invoices.
Create, update or copy invoices and estimates, and set up recurring invoices, after you approve each one.
Email an invoice, a payment reminder or an estimate to a customer, after you approve it.
Example asks
"Which 3 customers owe us the most right now?"
"Show me last quarter's profit and loss."
"Which estimates are still open?"
"Create an invoice for Acme Corp for 4 hours of consulting at $150 an hour, due in 30 days."
"Send a payment reminder for invoice 1037."
Choose what Hatz can do
Read company data (always included): Hatz can read reports, customers, products and services, invoices, estimates, recurring invoices and sales settings. With this option alone, Hatz's QuickBooks tools only read and don't make changes.
Make changes you approve (optional): Hatz can also create, update, copy, email or delete invoices, estimates and recurring invoices, add customers and products, and change some sales settings. It asks for your approval in chat before each change.
To change your choice later, delete the integration and connect again.
How approvals work
Hatz asks for your approval in chat before it changes your books or emails a customer. Each request shows a preview with the record and amounts. For emails, the preview also shows the recipients.
Reply to the preview in your next message to approve it, or ask for changes. Changes are made only after you approve them.
An approval covers that one preview and expires after 15 minutes. If it expires, or you move on to something else first, ask again and Hatz shows a fresh preview.
If the record changed in QuickBooks in the meantime, Hatz asks you to approve again.
Before a deletion, Hatz shows exactly what will be deleted and asks you to confirm.
If your QuickBooks company is set to email new invoices automatically, QuickBooks may send a new invoice as soon as it's created. The preview warns you when that can happen.
Changing sales settings can clear your default customer message in QuickBooks, and the preview warns you first. If QuickBooks doesn't apply a setting, Hatz tells you instead of reporting it as changed.
Workflows, schedules and other automations are limited to reading QuickBooks data. Changes and emails need your approval in a chat.
Disconnect QuickBooks Online
In Hatz, go to Workshop, then Connections, and open QuickBooks Online. Under Danger Zone, select Delete Integration, then Delete. Hatz removes the connection and asks Intuit to revoke its access. To double-check, look at the connected apps for your company in QuickBooks Online.
You can also disconnect Hatz from inside QuickBooks Online. Hatz notices the next time it uses the connection, and QuickBooks Online then shows Access revoked or Authentication expired in Connections.
Disconnecting doesn't change your records in QuickBooks. You can connect again at any time.
Troubleshooting
QuickBooks Online isn't in Connections: QuickBooks Online is in beta and shows only for users in the beta. To request access, fill out the Beta Testing Application.
Intuit won't let you connect: only QuickBooks company admins can connect apps. Ask a company admin to connect, or to give you admin access.
QuickBooks tools stop working, or the page shows Authentication expired: in Connections, open QuickBooks Online and select Reconnect.
Your connection stopped working after someone else connected the same company: another connection to the same QuickBooks company can end yours. Select Reconnect.
Hatz says the company isn't supported: only companies based in the United States can connect for now.
Hatz says your QuickBooks role doesn't have permission: your QuickBooks user role doesn't allow that action. Ask a QuickBooks admin.
Hatz says a date falls in a closed accounting period: the books are closed for that date in QuickBooks. Choose a later date, or ask whoever manages your books.
