AI Phone Agent Billing and Monthly Minute Limits

Understand AI Phone Agent per-minute billing, monthly minimums, included minutes, and optional monthly minute limits.

Effective August 1, 2026: AI Phone Agents use per-minute billing instead of a phone-agent license. If you configure a monthly minute limit before August 1, Hatz saves it and begins applying it on August 1. Until then, the agent keeps its current plan and calls are not limited by this setting.

Each AI Phone Agent has its own phone number. Beginning August 1, 2026, that number has a monthly minimum that includes an initial allotment of call minutes. After those included minutes are used, additional minutes are billed at the current per-minute rate.

The confirmation shown before you create an agent displays the current monthly minimum, number of included minutes, and per-minute rate. Review that confirmation before selecting Create agent.

How monthly billing works

  • The monthly minimum applies to each phone number, including a month in which the number receives no calls.

  • The minimum includes the first set of minutes shown in the creation confirmation. It is not an additional charge on top of those minutes.

  • After the included minutes are used, Hatz bills additional call minutes at the rate shown in the creation confirmation.

  • Usage is tracked separately for each AI Phone Agent.

Switch an existing agent to per-minute billing

Agents created before August 1, 2026 use a monthly phone-agent license. You can move any of them to per-minute billing at any time. Hatz refunds the unused part of that agent's current license month and stops charging the license fee for it.

  1. Open AI Phone Agent.

  2. Find the agent you want to switch. Agents show either Licensed or Per-minute so you can see which plan each one is on.

  3. Select Switch to per-minute billing on that agent's row.

  4. Review what will change, then confirm.

  • Per-minute billing starts immediately. Calls before the switch stay on the license fee you already paid; calls after it bill per minute. The pro-rated refund covers exactly the part of the month that bills per minute, so you are never charged twice for the same stretch.

  • Your other agents are not affected. Each agent is switched on its own, and an account can have licensed and per-minute agents at the same time.

  • The refund is pro-rated. It covers the part of the current license month that had not been used when you switched, and appears on the card or payment method that paid for the license.

  • The agent keeps working. Its phone number, settings, call history, and assigned users are unchanged.

Switching cannot be undone from the product. If an agent was switched by mistake, contact Hatz Support with the agent name.

Who can switch an agent

Switching an agent changes what your organization is billed, so it requires billing permissions on the organization that pays for the agent — the same permission required to purchase an agent. If you do not have it, the option does not appear, and an MSP administrator can make the change for you.

An organization on a free trial cannot move an agent to per-minute billing, for the same reason it cannot purchase a phone agent during a trial. Upgrade to a paid package first.

Set a monthly minute limit

MSP administrators can set an optional monthly minute limit for each agent. This gives you a predictable usage ceiling in addition to the billing information shown when the agent is created.

  1. Open AI Phone Agent.

  2. Find the agent you want to manage and select Configuration.

  3. Open Billing.

  4. Turn on Monthly Minute Limit.

  5. Enter the Maximum minutes per month.

  6. Select Save changes.

The limit must be a whole number of minutes, and it cannot be lower than the included minutes shown in the creation confirmation — currently 10. Those minutes are part of the number's monthly minimum and are billed whether or not they are used, so a lower limit would block minutes you are paying for either way.

Hatz does not adjust a value that is outside the allowed range. The number stays exactly as you typed it, a message beneath the field explains what is allowed, and Save changes does not save until you correct it. A blank field blocks saving the same way — turn off Monthly Minute Limit if you do not want a limit at all. The same message appears while creating an agent, where Next does not continue until the limit is valid.

What happens when the limit is reached

  • The agent stops answering new calls after it reaches its monthly minute limit.

  • If the agent reaches the limit during a call, it wraps up and ends that call shortly afterward instead of disconnecting immediately.

  • The Phone Agents list shows the agent's minutes and indicates when the agent is at its configured limit.

To allow more calls during the month, increase the limit or turn off Monthly Minute Limit, then save your changes. Billing for actual usage still follows the pricing shown when the phone number was created.

Saving with Monthly Minute Limit turned off clears the stored number, so turning the limit back on later starts from the default rather than the value you used before. Turning it off and back on without saving keeps the number you typed.

Who can manage billing settings

Phone billing and monthly minute limits are managed from the MSP AI Phone Agent page. If you cannot see the Billing section or cannot change the limit, ask an MSP administrator or your Hatz account team for help.

Troubleshooting

  • The Billing section is missing: Confirm that you are using the MSP view and that your organization can manage AI Phone Agents.

  • The limit is rejected and Save changes will not save: Read the message beneath Maximum minutes per month. The value must be a whole number, cannot be blank, and cannot be lower than the included minutes shown in the creation confirmation — currently 10.

  • A saved limit is not stopping calls before August 1: This is expected. Limits saved before August 1, 2026 begin applying on August 1.

  • The agent is not taking new calls: Check whether its monthly minute limit has been reached.

  • You need help reconciling usage or charges: Contact Hatz Support with the agent name and billing month. Do not send passwords, access tokens, or full call recordings.

  • Switch to per-minute billing is missing on an agent: The agent is already on per-minute billing (its row shows Per-minute), or you do not have billing permissions on the organization that pays for it.

  • The agent switched but no refund has appeared: A refund can take a few days to show on a statement. If the agent's license had not yet been invoiced for the current month, there is nothing to refund and none is issued. Contact Hatz Support with the agent name and billing month if you are unsure.

  • You were asked to try switching again: Nothing was changed or charged. Wait a moment and repeat the switch — it is safe to retry, and it will not refund or charge twice.
