Cancel and Reactivate End User Tenant

This article covers how to cancel and reactivate an end user/customer tenant. It also covers information around what cancelling and reactivating means for a end user/customer tenant.

Overview

Cancelling an end user/customer tenant requires access to admin.hatz.ai and permissions to modify tenants.

When an end user no longer needs access to their Hatz tenant their are two options available:

Cancel Tenant

  • Cancelling a tenant will allow users to continue accessing the tenant for the remainder of the month

  • At the start of the next month the tenant and billing will be disabled but all data will still be available

  • The tenant can be reactivated at a future date if needed

Delete Tenant

  • Deleting a tenant immediately disables the tenant and billing and deletes all associated users and data

  • Tenant deletion should be treated as an irreversible act

  • A new tenant will need to be created if the customer needs access again in the future

Tenant Status: Pending Cancellation vs Canceled

When a Hatz tenant's subscription status changes, the tenant may enter either a "Pending Cancellation" or "Canceled" state. Each state has different effects on user access, invitations, phone agents, and resource management.

Pending Cancellation

When a tenant is scheduled to be cancelled and is in the "Pending Cancellation" state:

  • User invitations and access

    • Cannot invite new users

    • Users may not be able to accept pending invitations

    • SCIM-provisioned users can't join the platform

    • Existing users can still log in

  • Phone agents

    • Cannot assign new phone agents

    • Existing phone agents will work until the end of the month and the tenant is cancelled

  • Resources

    • Workshop items and groups can still be assigned

Cancelled

When a tenant is in a "Cancelled" state:

  • User invitations and access

    • Cannot invite new users

    • Users may not be able to accept pending invitations

    • SCIM-provisioned users can't join the platform

    • Existing users can't login

  • Phone agents

    • Cannot assign new phone agents

    • Existing phone agents will not work

  • Resources

    • Workshop items and groups can't be assigned

How to Cancel a Tenant

Follow the below steps to cancel a tenant:

  • Login to admin.hatz.ai as a user with permissions to modify tenants

  • Select the "Tenant" tab at the top and select the tenant you want to cancel

  • Select the three dots in the top right and select "Cancel Tenant"

  • Review the information on the pop up to confirm this is the action you want to complete and select "Cancel Tenant"

Once the above has been completed the tenant will be in a pending cancellation state and will be cancelled at the end of the current month.

Reactivating a Cancelled Tenant

When an end user/customer tenant is cancelled Hatz will retain all of the data and it can be reactivated in the future to give the customer access again. Follow the below steps to reactivate a cancelled tenant:

  • Login to admin.hatz.ai as a user with permissions to modify tenants

  • Select the "Tenants" tab at the top and select the tenant you want to reactivate

  • Select the "Reactivate" button in the top right

  • Select "Reactivate Tenant" button on the pop up window

Once the above has been completed users from the customer will be able to log into Hatz and will have access to all features and previous data.
