Share a space and manage people

Choose who can open a space, what each role can do, how to change roles or remove people, and how to hand a space over.

A new space is private: only you can open it. Share it when you want other people in your organization to work in it with you. Each person gets a role that decides what they can do.

Share a space

You need the Can manage role or higher to share a space.

  1. Open the space and choose Share.

  2. In Share space, choose who can open the space: Private (only you can find and open it) or Specific people (the owner and people granted access individually or through an existing group).

  3. For Specific people, search for people by name or email and add them.

  4. Choose a role for each person.

  5. Choose Save. Save is available only after you change something.

You can share a space only with people in your organization. A customer space can also include people from its customer; see Customer spaces for MSPs.

Roles

Each role includes everything the role before it can do.

  • Can view: read shared chats and open files.

  • Can contribute: also start chats and copy shared chats, add files and memory, and add tools and connections.

  • Can manage: also edit instructions and settings, manage invites, and archive or restore the space.

  • Owner: full control. The owner can also make, demote or remove managers, make the space private, and transfer the space. Every space has one owner.

To see this list in the app, open a role menu and choose Compare roles.

Linked tools and agents use each person's own access. Nobody gets data they couldn't already see.

See who's in a space

Open the space's Members tab to see everyone who can open the space and their role. You can search the list.

If you can manage the space, choose Add people on the Members tab to open Share space. That's where you add people, change roles and remove people.

Members tab with Add people and the member list.

Change a role or remove someone

  1. Open the space and choose Share (or Add people on the Members tab).

  2. Find the person in People with access.

  3. To change their role, open their role menu and pick a new role.

  4. To remove them, choose the remove button on their row.

  5. Choose Save. If anyone loses access or gets a lower role, Hatz asks you to confirm.

When you remove someone, they lose access to the space, including its shared chats, knowledge and memory. Their shared chats stay in the space, and their private chats go back to them.

Managers can add people and change the roles of contributors and viewers. Only the owner can make, demote or remove managers.

Make a space private again

Only the owner can make a space private. In Share space, choose Private, then Save, and confirm. Everyone except the owner loses access.

Transfer ownership

The owner can hand a space over to someone else in the organization.

  1. Open the space's … menu and choose Transfer ownership.

  2. Under New owner, choose a person.

  3. Choose Transfer and confirm.

The new owner takes control of sharing and settings. You stay on as a manager.

If you're an admin, you can also transfer a shared space, from its … menu or from Settings > Spaces, for example when its owner has left. Admins can't transfer a private space. See Manage Spaces for your organization.

Transfer ownership dialog; the current owner stays on as a manager.

Spaces shared with your whole organization

Share space doesn't offer sharing with your whole organization or with a group. Share with specific people instead.

If a space is already shared with your whole organization, Share space says so, and it stays that way until a manager chooses Specific people (or the owner chooses Private) and saves. Hatz asks you to confirm if anyone would lose access.

Common questions

Can I share a space with a group? Not from Share space. Add people one at a time. Access granted through an existing group still applies.

Can I share a space with someone outside my organization? Internal spaces are limited to your organization. A customer space can also include people from its customer; see Customer spaces for MSPs.

Can I delete a space? No. Managers and the owner can archive it instead. See Spaces: a shared home for your team's ongoing work.
